COMPLAINTS AND APPEALS PROCESS

At ENEN Green Services Pvt. Ltd., we are dedicated to maintaining impartiality, integrity, and transparency in our validation and verification activities. Our Complaints and Appeals Process ensures that all concerns are addressed fairly and effectively, in line with ISO 17029 requirements.

This process is designed to handle appeals and complaints submitted by clients, stakeholders, and other parties involved in or affected by our validation and verification activities. We strive to provide a prompt and objective review, reinforcing our commitment to the highest standards.

The Appeals and Complaints Committee oversees this process and consists of three members: an independent Committee Chair, a Subject Matter Expert with relevant expertise, and a Stakeholder Representative. This diverse composition ensures that all perspectives are considered and that decisions are made with fairness and accuracy.

To initiate the process, any concerned party can submit an appeal or complaint in writing, providing detailed information about the issue and the desired resolution. We acknowledge receipt of submissions within five business days. The committee then conducts an initial review to assess the validity of the complaint or appeal and may request further information if needed.

Following the initial review, the Committee Chair assigns the case to the Subject Matter Expert for a thorough investigation. This investigation includes gathering relevant data, interviewing involved parties, and reviewing necessary documentation. The findings are compiled into a report with recommendations for resolution.

The committee reviews the investigation report, discusses the findings, and makes a decision based on consensus. If consensus is not possible, a majority vote determines the outcome. The decision, including any corrective actions or procedural changes, is communicated to the complainant or appellant within 30 business days.

Confidentiality is paramount throughout the process. All related information is treated with strict confidentiality, and records are maintained for at least five years. The committee also conducts an annual review of the process to ensure it remains effective and aligned with best practices.
